Terms of Service
Effective date: March 10, 2026
These Terms of Service ("Terms") govern your use of the Conference Schedule Tool web application (the "Service") operated by Saskatchewan Mathematics Teachers Society ("we", "us", or "our"). By accessing or using the Service, you agree to be bound by these Terms.
If you do not agree to these Terms, do not use the Service.
1. Description of Service
The Conference Schedule Tool is a web application that allows conference organisers to manage conference schedules, session proposals, and attendee profiles. Attendees can browse the schedule, save sessions to a personal agenda, and submit speaking proposals. Speakers can create and manage public profiles.
2. Eligibility
You must be at least 13 years of age to use the Service. By using the Service, you represent that you meet this requirement. If you are under 18, you represent that you have your parent or guardian's permission to use the Service.
3. User Accounts
To access certain features, you must create an account using Google Sign-In or an email and password. You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activity that occurs under your account
- Notifying us promptly if you suspect any unauthorised use of your account
We reserve the right to suspend or terminate accounts that violate these Terms.
4. Acceptable Use
You agree not to use the Service to:
- Submit false, misleading, or fraudulent session proposals or profile information
- Harass, abuse, or harm other users
- Upload or transmit malware, spam, or other harmful content
- Attempt to gain unauthorised access to other accounts or the system
- Use the Service in any way that violates applicable laws or regulations
- Scrape, crawl, or systematically extract data from the Service without our written permission
5. User-Generated Content
By submitting content to the Service (such as speaker bios, session proposals, or profile information), you grant us a non-exclusive, royalty-free licence to display and use that content in connection with operating the Service.
You represent that you own or have the necessary rights to the content you submit, and that it does not infringe any third-party intellectual property rights.
We reserve the right to remove content that violates these Terms or that we deem inappropriate, at our sole discretion.
6. Conference Organisers
If you use the Service as a conference organiser (with admin access), you additionally agree to:
- Use attendee and speaker data only for legitimate conference management purposes
- Not share or sell attendee personal information to third parties
- Comply with applicable data protection and privacy laws in your jurisdiction
- Maintain appropriate security for your admin account credentials
7. Intellectual Property
The Service, including its design, code, and content created by us, is owned by us and protected by applicable intellectual property laws. You may not copy, modify, distribute, or reverse-engineer any part of the Service without our prior written consent.
Your own content (speaker profiles, proposals, etc.) remains yours. We do not claim ownership of content you submit.
8. Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review it carefully.
9. Third-Party Services
The Service relies on third-party providers including Google Firebase (authentication, database, hosting) and Resend (email delivery). Your use of those services is subject to their respective terms of service and privacy policies. We are not responsible for the practices of those third-party providers.
10. Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components. We make no guarantees about the accuracy or completeness of any content on the Service.
11. Limitation of Liability
To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service. Our total liability to you for any claim arising from these Terms or the Service shall not exceed the amount you paid us (if any) in the 12 months preceding the claim.
12. Indemnification
You agree to indemnify and hold us harmless from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your infringement of any third-party rights.
13. Termination
We may suspend or terminate your access to the Service at any time, with or without cause, and with or without notice. Upon termination, your right to use the Service ceases immediately. Sections that by their nature should survive termination (including limitations of liability, disclaimers, and indemnification) will survive.
14. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by updating the effective date above. Your continued use of the Service after changes are posted constitutes your acceptance of the updated Terms.
15. Governing Law
These Terms are governed by the laws of Canada, without regard to conflict of law principles. Any disputes arising under these Terms shall be resolved in the courts of that jurisdiction.
